Operations Executive

Location: London, Greater London

Working as part of our Operations Team, the Operations Executive will be responsible for supporting the Delivery function of the business and will play a key role in setting our project teams up for success.

This role will be responsible for supporting the Recruitment and Resourcing/ Staffing processes within CloudShift, managing the process for identifying talent gaps, working with external agencies to bring candidates through the recruitment process, working with HR to onboard through to assigning these individuals onto projects. This role will also support our Project Management Office (PMO) function to support active CloudShift engagements.

The Operations Executive will report into the Operations Manager, with oversight and support from the Operations Director.

The Operations Executive will be supported by both the Operations Director and Manager with their professional development, defining objectives and progressing against these to progress through the CloudShift Operations Career Path.

Recruitment Support (External Agencies)

  • Working with the Operations Manager to identify talent gaps within the organisation
    • Analysis of project pipeline
    • Analysis of current team structure and skills matrix
  • Definition of open vacancies
    • Drafting of Job Descriptions (JDs) for open vacancies
    • Managing the review and confirmation of JDs with the Operations Director
  • Working with external Recruitment Agencies to identify candidates
    • Sharing open vacancies and JDs
    • Initial screening of candidates
  • Coordination of interview process
    • Orchestrating interview process, arranging interviews, consolidating feedback, arranging follow-up
    • Updating application progress on tracking tool (Salesforce)
    • Updating internal Management Information (MI) with recruitment progress
  • Coordination of hiring decisions
    • Drafting offer requests for approval
    • Coordination with HR for offer process

Recruitment Support (Direct Hires)

  • Working with the Operations Manager to identify talent gaps within the organisation (see Recruitment Support (External Agencies))
  • Coordination with website teams to maintain alignment of website with current vacancies
  • External site management
    • Maintenance of CloudShift vacancies on platforms including LinkedIn, Glassdoor etc.
  • Managing referrals from current employees
    • Initial screening of candidates
    • Orchestrating interview process

Staffing/Resourcing Support

  • Maintenance of staffing forecasting and time tracking tool
    • Ensuring forecasting and time tracking tool is reflective of the actual time being spent on projects
  • Managing assignments and changes
    • Updating the tool with proposed teams for upcoming projects
    • Working closely with the Operations Manager and Project Leads to update the tool based on changing requirements on in-flight engagements
  • Updating Management Information (MI) with staffing/ resourcing progress

Project Management Office (PMO) Support

  • Supporting the Operations Manager with project health tracking, meeting with Project Leads to consolidate updates, risks and issues
  • Coordination of the Project Status Update call (Weekly)
  • Update of Project Status Executive Summary for Senior Leadership Team (SLT)
